Details of Each Phase
Phase 1: Membership Management System (Jul 1 – Dec 31)
The Membership Management System (MMS) will remain for fall term initiations. Any circle initiated between July 1 and December 31, 2023, will continue to use MMS for the membership application submission, review, and approval process. Any circle initiating members after December 31, 2023, will use the new MyODK system.
Phase 2: MyODK for Member Portal (Sep 1)
The member portal for all members will go live around September 1. MyODK will become the primary platform through which members will access their ODK records, register for programs and events, connect with other members through the Discord platform, and access links to member benefits, discounts, etc. We will regularly remind members to update their MyODK account. Eventually, MyODK will be where all potential new members will begin their ODK journey.
Phase 3: MyODK for Circles Portal (TEST SITE) and Training (Sep 15 – Nov 1)
On or about September 15, we will open the MyODK Circle Administration Portal for a select group of circles. We will work with these circles to test the new National Lifetime Membership Application system through MyODK. Once we are confident that we have assessed and addressed any weaknesses in the system, we will launch the entire application.
During this period, we will require all circle officers to attend a live webinar on the system and complete a short online course. The new system has many benefits but requires knowledge of its processes. The webinar will be an introduction to the various elements of the system. At the same time, the online course and companion videos will provide users with the detailed information they need to operate the new system efficiently and effectively. We will be offering over 20 webinar periods, including some weekend sessions, with up to 100 attendees for each, so we should be able to accommodate all schedules.
Phase 4: MyODK for Circles Portal (Oct 15 – Dec 31)
After the test period, we will fully open the MyODK Circle Portal, and circles planning ceremonies after December 31, 2023, will be able to begin their application process. The Membership Management System (MMS) will be slowly taken offline as circles migrate to MyODK.
Phase 5: MyODK Fully Operational (Jan 1, 2024)
By January 1, 2024, MyODK will be fully operational, and the Membership Management System (MMS) will be retired for all but historical records. Circles will have access to MMS through June 30, 2024, to access previous certificate orders and other general information in MMS, but the application process will be closed.
Importance of MyODK
Omicron Delta Kappa committed significant resources to the MyODK project to improve the member experience and the application review and approval process. As with all significant transitions, adjustments and improvements will be made over time. We encourage our advisors and student officers to contact the National Headquarters staff whenever there is an issue with the new system. The quicker we learn about problems, the sooner they can be resolved.
