IMPORTANT MyODK UPDATES for CIRCLE OFFICERS
Since launching the MyODK Membership Engagement Platform for Omicron Delta Kappa, we identified several areas that needed attention. The launch of any new system undoubtedly comes with unforeseen challenges. We have been addressing these as quickly as we can, and where possible, our developers have upgraded the system and fixed problems. Below are just some of the more critical, fully functional items.
Updates in Place
Easy Access to Member Accounts – Buttons added to the MyODK homepage make access to the Member Account, Application Dashboard, and Circle Advisor Dashboard one click away after signing in.
National and Local Fee Payment – Circles may choose to have the National Initiation Fee and the first-time Local Dues paid through MyODK. A simple three-step process to activate payments is part of the application setup.
Registration Forms for Events – Buttons on the MyODK homepage provide easy access to registration forms for O∆K events.
Member Export – Circles can now download lists of all members initiated from 1953 to present day. We are still working on the export for application management.
Dates for Initiation Cycle – The dates of the initiation, including application open and close dates, are now posted on the Circle Exectuive Dashboard.
Coming in January 2025
Circle Standards Tracking – Circles will once again be able to track their progress on Circle Standards [https://odk.org/circle-officers/circle-minimum-standards/] through MyODK.
Reports – Circles will have access to their Circle Annual Report, Circle Health Report, and Circle Bylaws through the Circle Reports section of the Circle Executive Dashboard.
Application Spreadsheet Download – Circles will be able to download a spreadsheet of applications for review.
Important Application and Certificate Order Rules
Remember 21 – 14 – 7 – The following rules are coded into the system and cannot be changed.
-
- The application process requires at least 21 calendar days from the opening of the application to the initiation date.
- The application must close no less than 14 calendar days before the initiation date.
- The Certificate Order must be submitted no less than seven (7) calendar days before the initiation ceremony.
Certificate Orders (including certificates and pins) have the following rules.
-
- The order must be submitted no less than seven (7) calendar days before the ceremony. This form begins the process of creating the membership certificate for each initiate and generating the invoice to pay national initiation fees.
Only ONE (1) order per initiation date is permitted.
-
- Once the order is submitted, no additions can be made. Please be sure all candidates approved for the initiation are included in this order.
- No payments to the national payment portal will be accepted once the order is submitted.
MyODK Activation and Training
If you have not activated your MyODK account, please do so immediately. All currently serving officer should be monitoring their MyODK account and the Circle Executive Dashboard. If you need assistance activating your account, contact myodk@odk.org.
ALL Circle Officers must attend MyODK online training to maintain access to the Circle Executive Dashboard. The new system is not complicated, but as with any new system, training is required to know the processes and procedures to manage it effectively. We will be revoking access to the Circle Executive Dashboard for those officers who have not attended training. We have many training dates through January. Please sign up so you don’t lose access.
Happy Holidays from Everyone at Omicron Delta Kappa!
